Missed-call cost calculator for clinics

How the calculator works

It multiplies four numbers you control. No figure is taken from a survey.

1. Missed calls a month = calls a day × 30 × the share you miss.
2. Paid visits lost = missed calls × the share of calls that turn into a paid visit.
3. Revenue at risk = paid visits lost × your average first-visit bill.
4. Priya's fee = ₹6,999 for the first 450 minutes, then ₹5 a minute, at 1.5 minutes a call.

The revenue figure counts only the first visit. A patient who stays with your clinic for years is worth far more, so the real cost of a missed call is usually higher than this shows.

How to find your real numbers

Calls a day and calls missed

Open the call log on the clinic phone and count one normal week. Missed calls show in red on most phones. Include calls that came while the clinic was closed. Divide by 7 for a daily figure.

Share of calls that become a paid visit

Not every call is a new booking. Some are existing patients, wrong numbers or price checks. If you do not track this, start at 5% and adjust once you have a month of data from your booking sheet.

Average first-visit bill

Add up what new patients paid on their first visit last month and divide by the number of new patients. For a dental clinic this is often a consultation plus a scaling or X-ray; for a skin clinic, a consultation plus the first session.

What to do with the result
